Fundraising campaign management connects an appeal, its goal, the gifts received and the people responsible for follow-up. Start with a clear campaign record and a consistent way to associate contributions with it. Then plan the communications and stewardship around that record.
Separate the fundraising campaign from the email campaign
A fundraising campaign might be a year-end appeal, a building fund or a membership drive. An email campaign is a particular message sent to an audience. One appeal may involve several messages, conversations and donation pages.
Keep those concepts separate when evaluating software. You need to know how much was recorded against the appeal and what communication each audience received. A click on an appeal email does not establish that the email caused a later contribution.
Define the campaign before promoting it

- Purpose: What is the appeal supporting, and how will you explain it?
- Goal and dates: What target and reporting period will the team use?
- Fund: Where should gifts be recorded and allocated?
- Owner: Who reviews progress, answers questions and resolves exceptions?
- Acknowledgment: Who thanks the donor and prepares the appropriate record?
Use names that staff can recognize later. A campaign called Year-end appeal 2026 is easier to distinguish from next year's work than a generic Annual campaign. Keep the public message and the internal reporting period consistent.
Check the donation-to-record path
Before sharing a donation link, test the configured payment flow, donor details, campaign association and resulting gift status using the payment provider's appropriate test process. Also check unsuccessful and canceled payments. A started checkout must not be counted as a received gift.

Plan communications around the relationship
Prepare the introduction, a useful progress update and the closing communication. Use audiences your team can explain, and review who should be excluded before each send. Keep individual replies and donor questions available to the person following up.

Report what the records support
Review received gifts, distinct donors, the remaining goal and outstanding commitments for the same date range. Investigate corrections and status changes before sharing the report. Keep email activity beside the financial results without treating it as proof of causation.
After the appeal, assign the remaining conversations and document what needs to change next time. Useful questions include whether staff could find the donor history, whether campaign totals reconciled and whether acknowledgments were completed.
