Free CRMs are a great way to get started with lead management. They are also a great way to get frustrated when you hit the limits — and every free CRM has limits. The question is not "which free CRM is best?" but "which free CRM's limits will bother me least?"
We tested the free tiers of 8 popular CRMs to find out exactly what you get for $0, where the walls hit, and when it makes sense to pay for a proper tool.
What Free CRMs Actually Give You
HubSpot Free: The most generous free tier. Contact management (up to 1,000,000 contacts), basic pipeline, email tracking, meeting scheduling. The catch: no automation, no SMS, limited reporting, HubSpot branding on everything. Jumps to $20/mo (limited Starter) or $800/mo (Professional with automation).
Zoho CRM Free: Up to 3 users. Basic lead and contact management, pipeline, web forms. The catch: no workflow automation, no custom reports, no integrations beyond Zoho products. Upgrade starts at $14/user/month.
Freshsales Free: Unlimited users, contact management, built-in phone. The catch: no pipeline management on free plan, no automation, no reporting. Upgrade starts at $9/user/month.
Bitrix24 Free: Unlimited users, basic CRM, project management. The catch: extremely complex UI, steep learning curve, 5GB storage limit, no automation.
Where Free CRMs Fall Short
Every free CRM we tested shared the same three limitations:
No automation: Free tiers never include workflow automation. That means no auto-response to leads, no follow-up reminders, no review requests. The features that actually save you time are always behind the paywall.
No SMS: None of the free CRMs include SMS alerts or text messaging. Since SMS outperforms email by 5x for lead response, this is a critical gap.
Limited reporting: Free plans show basic metrics but not the insights that help you improve — like response time tracking, source attribution, or close rate analysis.
When Free Stops Making Sense
Free CRM works when you get under 10 leads per month and have time to manually follow up with each one. Once you cross 20+ leads per month, the lack of automation starts costing you money in missed follow-ups and slow responses.
Do the math: if one missed lead costs you $1,000+ in lifetime value, and a CRM with automation costs $19 to $49 per month, the free tool becomes the expensive option the moment it causes you to miss a single lead.
Our Take
Start with HubSpot Free if you want to dip your toe in CRM without spending anything. But the moment you need SMS alerts, automation, or follow-up nudges — which is the moment CRM starts actually generating revenue — Long Drive Leads at $19/month delivers more usable value than any free tier on the market. The 14-day trial is free too, so you can compare side-by-side.
