What is the difference between a CRM and project management software?

A CRM tracks your relationship with potential customers: who they are, what they need, and where they are in your sales process. Project management software tracks the work itself: tasks, deadlines, assignments, and deliverables. They solve different problems.

Some tools try to be both. Monday.com and ClickUp offer CRM features within project management platforms. The result is usually adequate at both but excellent at neither. Specialized tools tend to do their specific job better than all-in-one solutions.

For most small businesses, you need a CRM to win the work and may or may not need project management to deliver it. If your business runs on leads and sales (contractors, agencies, professional services), start with a CRM. Add project management only if your delivery workflow demands it.
